Royal Perfumes runs production, stock and accounts across Focus and a set of spreadsheets that sit outside it. That works until it doesn't: batch history is hard to trace, raw material consumption is reconciled after the fact rather than at the point of production, and finance closes the month from records that were never designed to talk to each other.

ERPNext replaces that with one database. A work order consumes concentrate, alcohol, fixatives, bottles and caps against a bill of materials; stock moves the moment production is posted; the accounting entry is created in the same transaction. Nothing is entered twice.

The perfume-specific part

A perfume house is not a generic manufacturer. Concentrate is expensive and lot-sensitive, maceration means WIP sits for weeks, and one juice becomes many SKUs across bottle sizes and packaging variants. We configure the BOM structure, batch policy and warehouse layout around that reality during discovery rather than forcing your process into a default template.

Data migration: Focus to ERPNext

UAE e-invoicing integration Our fee: AED 6,000–9,000, plus ASP charges

That range is our development work only. Once the FTA mandate applies to Royal Perfumes, every invoice must pass through an accredited service provider (ASP) on the Peppol network. We connect ERPNext to whichever ASP you appoint, map your invoice fields to the UAE data dictionary and test the exchange end to end. The ASP charges its own subscription and per-invoice fees, billed directly to you. We will shortlist providers and get you current pricing closer to your deadline. Our fee is confirmed once the ASP and its API are known.

Extended support AED 3,000

Three months of online support is already included in the fee: WhatsApp and email through the working week, screen shares where a call is faster, and fixes to anything configured under this scope. Take it to six months for AED 3,000, decided any time before the first three months end.

Discovery and process mapping

Walk the floor and the books. Document the production process, warehouse layout, costing method, approval chain and reporting needs. Output is a signed configuration document.

Assumptions and exclusions

What we need from you
  • Migration data exported from Focus in Excel or CSV, with the existing trial balance for account openings
  • Opening balances for every account, including opening receivables by customer and opening payables by supplier
  • Your current sales invoice, quotation and purchase invoice templates
  • A named project owner with authority to sign off configuration and cutover
  • Department representatives available for discovery, testing and training
  • Item, supplier and customer masters cleaned and confirmed before load
Not included in this fee
  • Custom app or module development beyond standard ERPNext configuration
  • Third-party integrations such as e-commerce, POS, payment gateways and logistics portals
  • Hardware, barcode scanners, label printers and network setup
  • Ongoing AMC beyond the included online support period
Change requests

Anything outside the signed configuration document is quoted before work starts, at AED 400 per hour or as a fixed scope, whichever suits the request. Nothing gets billed without your written approval first.

Support after go-live

Three months of online support is included: WhatsApp and email through the working week, screen-share sessions where a call is faster, plus fixes to anything configured under this scope. Extendable to six months for AED 3,000. After that, support moves to an annual maintenance contract, typically 15–20% of the project fee per year.

Hosting and licensing

Managed cloud hosting at USD 15 per month covers the server, daily backups, SSL and platform updates. ERPNext is open source, so there is no per-user licence fee at any team size.
